Buildings & Spaces

Organise your site into buildings, floors, and rooms (spaces) so work orders, assets, and compliance records can be accurately located. This hierarchy is used across every module in Aperio FM.

Buildings

A building represents a physical structure on your site. Each building can have a name, address, and description. Buildings are the top level of your location hierarchy.

Adding a Building

  1. Go to Buildings in the sidebar.
  2. Click Create Building and enter the building name and details.
  3. Click Create. The building is now available across the system.

Spaces

Spaces are the individual rooms, areas, or zones within a building, for example "Office 101", "Plant Room B", "Lecture Hall". Each space belongs to one building and has a type that describes its purpose.

Space Types

Before creating spaces, your facilities manager can define space types, categories like Office, Laboratory, Warehouse, Corridor, Plant Room, etc. Each space must be assigned a type, and types can be toggled active or inactive.

Adding a Space

  1. Go to Spaces in the sidebar.
  2. Click Create Space.
  3. Select the Building and Space Type, then enter a name and optional floor level.
  4. Click Create. The space is now available for work orders, assets, and compliance records.

Practical Usage

When creating a work order, selecting the building and then the specific space helps the assignee find the exact location quickly. The same applies when logging an asset or recording a compliance inspection. Well-organised buildings and spaces save time and reduce errors.
