Assets

The asset register stores all equipment, machinery, and physical items across your buildings. Every asset can be linked to a building and space, have documents attached, and be associated with work orders and PPM schedules.

Adding an Asset

  1. Go to Assets in the sidebar and click Create Asset.
  2. Fill in the details:
    • Name: a clear identifier for the asset.
    • Category: classify the asset type.
    • Location: the building and space where the asset is installed.
    • Serial Number / Barcode: for physical tracking.
    • Installation Date: when the asset was put into service.
  3. Click Create. The asset appears in the register and can be linked to work orders and PPM schedules.

Managing Asset Categories

Categories help organise assets into logical groups, for example HVAC, Electrical, Plumbing, Fire Safety, IT & Network. Every new company starts with a sensible default set (Doors, Flooring, HVAC, Lighting, Electrical, Plumbing, Fire Safety, IT & Network, Furniture, Roofing), and facilities and site managers can add, rename, or remove categories to match how their team classifies assets.

Managing Categories

  1. Go to Assets → Asset Categories in the sidebar.
  2. Use New Category to add one, or the Edit and Delete actions on each row to rename or remove. Each row shows how many assets are currently in that category. Deleting a category in use is blocked with a clear message, so reassign the assets first.

Quick-Add a Category from the Form

While creating or editing an asset, the Category field has an + Add new category… option. Pick it, type the new name, and click Add: the new category is created and selected, without leaving the form. The new category is unique within your company.

Asset Documents

You can upload documents directly to an asset: manuals, datasheets, warranty certificates, inspection reports. Documents are stored in the Documents module and linked to the asset for quick access.

Asset Lifecycle

Assets can be marked as active, inactive, or disposed. Keeping the lifecycle status up to date ensures accurate reporting and helps with replacement planning. When an asset is linked to active PPM schedules, those schedules will still appear until they are reassigned or completed.
