PPM Schedules

Planned Preventative Maintenance (PPM) helps you schedule regular inspections and servicing to keep equipment, buildings, and infrastructure in good working order. A well-maintained PPM programme reduces breakdowns, extends asset life, and supports compliance.

Creating a PPM Schedule

  1. Go to PPM in the sidebar and click Create Schedule.
  2. Enter the schedule details:
    • Title: e.g. "Monthly HVAC Filter Check".
    • Description: what the task involves.
    • Asset: link the schedule to an asset if applicable.
    • Frequency: how often the task repeats.
    • Assigned To: the team member or contractor responsible.
  3. Click Create. The schedule will appear in the PPM list and generate tasks on the defined frequency.

Completing a PPM Task

When a scheduled task is due, it will appear on the assignee's dashboard. To complete it:

  1. Open the task from the PPM list or your dashboard.
  2. Review the instructions and any linked asset information.
  3. Record the outcome: pass, fail, or observations.
  4. Add notes or attach photos if needed.
  5. Click Mark Complete. The task is logged with a timestamp for audit trails.

Overdue Tasks

Any PPM task that passes its due date without being completed is marked overdue. Overdue tasks are highlighted in the list and on dashboards so they can be prioritised.

Viewing PPM History

Every completed PPM task is stored in the schedule's history. You can review past completions, notes, and attachments at any time. This is useful for audits, trend analysis, and handovers.
