Your Role & Permissions
Every user in Aperio FM is assigned one role. Your role controls which modules you can see and what actions you can take: creating work orders, managing users, viewing reports, and so on.
Role Overview
Facilities Manager
Full operational access. Can manage users, roles, permissions, and every module. Oversees work orders, PPM, compliance, contractors, H&S, finance, documents, and reporting. Manages the work-order and asset category lists used across the app.
Site Manager
Day-to-day operational control for their site. Can create and assign work orders, manage PPM schedules, run compliance checks, oversee contractors, and view reports. Manages the work-order and asset category lists. Cannot manage users or roles.
Engineer / Electrician / Plumber / HVAC Tech / General Tech
Can view assigned work orders and update their status, view and log against assets, record PPM completions, view compliance information, and access documents.
Occupant
Can raise work orders for their building and view their own requests. Can view building information relevant to them.
Help Desk
Can create and manage work orders on behalf of others, and view assets, buildings, contractors, and documents. Cannot manage users or change system settings.
Compliance Officer
Full access to compliance module, H&S incident management, and document management. Can view work orders, assets, PPM, and reports.
Contracts Manager
Manages contractors and contract-related finance. Can view assets, SLA levels, and documents but not create operational work orders.
Finance Admin
Manages cost entries, invoices, and budget tracking. Can view contractor and asset information but does not have operational access.
Viewer
Read-only access. Can view all operational data: assets, work orders, PPM, compliance, reports, but cannot create, edit, or delete anything.
Permissions
Permissions are the individual actions a role can perform, for example create-work-orders
or delete-documents. Each role bundles a set of permissions.
If you need access to something you cannot currently do, speak to your facilities manager,
who can adjust role permissions.
